Executive Summary
We partnered with Calliditas to plan and execute a series of President’s Club and sales incentive programs across multiple destinations, including Nevis, Riviera Maya, Hawaii, and Northern California.
Each program came with different timelines, locations, and attendee needs. Our role was to bring structure to that variability maintaining consistency in planning, stakeholder alignment, and execution while adapting each experience to its setting.
Many of these programs moved quickly, with limited lead time. We focused on clear coordination, strong local partnerships, and early decision-making to deliver well-run, high-touch experiences for top performers and leadership teams.
The Challenge
Calliditas’ incentive programs presented a unique set of operational challenges:
- Compressed timelines, with several programs planned in as little as six weeks
- Remote and complex destinations, including Nevis and Hawaii, with limited flight access and logistics constraints
- Small, high-value attendee groups, requiring a personalized and elevated experience
- Evolving program needs, including last-minute activity changes and on-site pivots
- Lean stakeholder structure, working primarily with the Head of Sales while aligning final decisions with executive leadership
Each program required us to move quickly, stay flexible, and maintain a high level of attention to detail.
Our Approach
- Streamlined Planning & Decision-Making: We worked directly with a small stakeholder group, allowing for faster decisions and clear direction throughout planning.
- Proactive Experience Design: We secured activities, dining, and spa appointments in advance and built them into registration, ensuring attendee preferences were captured early and executed accurately.
- Flexible Execution: We planned for contingencies and adjusted quickly when needed. This included pivoting activities due to weather, adapting to travel challenges, and introducing new experiences onsite.
- High-Touch Hospitality: We created centralized hospitality spaces and consistent touchpoints to keep attendees informed, supported, and engaged throughout each program.
The Execution
Across four programs, we delivered:
- Nevis: VIP airport transfers, beachfront hospitality, and curated group experiences including snorkeling and island exploration
- Riviera Maya: Offsite dining across multiple resorts, pre-planned activities, and a successful pivot from a cancelled snorkel excursion to a chef-led cooking experience
- Hawaii: Personalized schedules, on-site gifting experiences, and adjusted travel strategies to support long-haul attendees
- Healdsburg: Fully planned in under a month, featuring a private winery experience and chef-led lunch through local partnerships
Each program included welcome and farewell events, curated activities, and individualized attendee experiences.
